Ossining Administrative Assistant

Summary: We are seeking a full-time Administrative Assistant that will welcome visitors to our center and provide administrative support to staff members and program instructors at our new community center in Ossining. The position reports to the Ossining Site Manager.

Responsibilities: Primary responsibilities include, but are not limited to:

  • Greet clients and visitors as they arrive at the center and make all feel welcome
  • Direct clients and visitors to staff offices and program rooms; distribute program information
  • Field multi-line phone system and direct callers to appropriate staff and services
  • Preserve up-to-date, accurate office calendar for Ossining programs
  • Respond to initial client support service requests and refer them to appropriate staff members and partner organizations
  • Support program administration by maintaining registration lists, collecting client fees and assisting with center activities
  • Coordinate office supply orders for Ossining center staff
  • Maintain relationships with local food vendors and order meals for programs
  • Enter client information and program attendance records in Salesforce database

Requirements:

  • Fluency in Spanish required
  • Associate’s degree or higher preferred
  • Strong interpersonal communication skills and customer service orientation
  • The ability to multi-task and work with other team members
  • Proficiency with MS Office software
  • Familiarity with Google/Outlook calendar and database experience a plus
  • Commitment to the Neighbors Link mission
